1. Who is the controller?
Company: Simlin Group Address: Ullevivägen 45, 746 51 Bålsta Email: Kristoffer@sera.chat
SERA is owned and operated by Simlin Group.
We are responsible for processing personal data when you use SERA.
2. Summary
- SERA helps you troubleshoot equipment and provides chat functionality.
- Your chat content and equipment data (for example brand, model, and year) may go through our server ("proxy") to a third-party AI provider that uses data from our own knowledge library to generate answers.
- All traffic is intended to use HTTPS. We do not sell your personal data.
- You can request deletion of chat logs and exercise GDPR rights (see section 11).
3. What data we collect
Depending on how you use SERA, we may process these categories:
A. User content
- Text you enter in chat, selected equipment fields (brand, model, year), and any attached images or notes.
B. Technical data and logs
- IP address (in server logs), timestamps, and device or browser information used for troubleshooting and security.
- Crash and performance data if you consent in the app or product experience.
C. Account data
- Name, email, authentication details, and payment-related data handled through the relevant payment partner.
D. Support
- Messages you send to support and related correspondence.
We do not collect exact geolocation. Camera access, microphone, notifications, and similar permissions are used only if you explicitly enable such a feature.
4. Why we process data (purpose and legal basis)
- Deliver the service (contract): generate answers and troubleshooting steps, store history for you, and show sources.
- Security and abuse prevention (legitimate interest): detect spam or abuse and protect the system.
- Improvement and diagnostics (legitimate interest or consent): performance, crash logs, and quality follow-up.
- Legal obligations: for example bookkeeping and handling legal claims.
- Marketing and communication (consent): only if you actively agree.
5. How AI answers are generated and how SERA's knowledge library is used
When you use chat, your message and any equipment information are sent to our server or proxy. The proxy forwards necessary content to a third-party AI provider to generate an answer. To improve quality and precision, SERA also uses its own curated knowledge library ("SERA's library").
How it works (RAG):
- 1) Your question: your chat content and selected equipment fields (brand, model, year) are received by our server.
- 2) Search SERA's library: our server searches for relevant excerpts in SERA's library (for example manuals, service bulletins, safety notices, and technical facts we are allowed to use).
- 3) Minimal sharing: only the necessary excerpts plus your question and equipment fields are sent to the AI provider to generate the answer.
- 4) Answer and sources: the AI answer is returned to the app or site, often with citations to the library sources used.
About SERA's library:
- It is owned and maintained for SERA and contains content we are allowed to use (own, licensed, or legally permitted).
- It does not intentionally contain your personal data.
- Individual chat content is not added to the library except possibly in aggregated or anonymized form to improve coverage and quality.
Third-party AI providers:
- We configure providers so data is not used for general model training where such controls exist.
- Providers may retain limited logs for a short time to prevent abuse and ensure operation.
- All communication is intended to use HTTPS.
Your control:
- Do not share sensitive personal data such as health data or national identification numbers.
- If you do not want your chat content shared with the AI provider, do not use the chat feature. Other parts of the product may then be limited.
- You can request deletion of chat logs under GDPR (see section 11).
6. Sharing
We do not sell your personal data. We may share data with:
- Third-party AI providers, only to generate the answer you request.
- Infrastructure partners such as hosting, CDN, email, and log-management providers.
- Payment partners where purchases or billing flows apply.
- Authorities where required by law or necessary to protect rights or safety.
All parties process data under agreements such as data processing agreements where appropriate.
7. Transfers outside the EU/EEA
Some recipients may be outside the EU/EEA. Where that happens, we aim to use appropriate safeguards such as Standard Contractual Clauses (SCC). Contact us for more information.
8. Retention
- Chat content: by default up to 12 months, or until you delete it in the app or request deletion.
- Server logs (IP, errors, performance): up to 90 days for troubleshooting and security.
- Account data: as long as the account is active and thereafter as required by law. We may anonymize or aggregate data for statistics.
9. Security
We use technical and organizational measures to protect data, including encryption in transit, access controls, and logging. No method is 100% secure, but we continuously improve.
10. Cookies and local storage (Web)
On the web, we may use necessary cookies and/or localStorage/IndexedDB for settings, session management, and cache. Analytics or marketing cookies are used only if you consent.
11. Your rights (GDPR)
You have the right to:
- Access your personal data.
- Request correction or deletion.
- Request restriction of processing.
- Object to processing based on legitimate interest.
- Data portability in some cases.
- Withdraw consent when processing is based on consent.
Contact us at Kristoffer@sera.chat. You can also file a complaint with the relevant supervisory authority.
12. Children
SERA is not directed to children. If you believe a child under 16 has provided data, contact us and we will remove it.
13. Your choices and controls
- You can disable collection of crash or diagnostic data at any time where the feature exists.
- You can clear chat in the app and ask us to delete associated server logs.
- If SERA presents a consent dialog before certain AI features, you can decline and continue with limited functionality instead.
14. Third-party links and sources
SERA may show source links such as manuals or documentation. We are not responsible for third-party websites and their own policies.
15. Changes
We may update this policy. The new version will be published here with an updated date. For major changes, we may notify you in the product or by email where appropriate.
